Give volunteers the right permissions
The owner can do everything. Everyone else gets what the Everyone role allows plus whatever roles they hold. Seven switches cover it.
A club has one Owner and any number of Members. The owner can do everything. A member can do what Everyone allows, plus whatever the roles they hold allow. That is the whole model.
The seven permissions
Open Settings from the club's row at the top of the left menu and choose Roles. Each role is a set of switches:
- Stock: restock and count what is in the fridge. Unlocks Restock, the Stock tab and the ledger, and puts the person on the low-stock email and the Thursday shopping list.
- Products: add products, edit them and set prices.
- Money: see the takings. Unlocks Payments, Compare, the Sold card and the kr ranking, and the takings in the Thursday email.
- Settings: change the club's name and logo.
- Points of sale: add and rename the places you sell from, pause them and print posters.
- Payment accounts: connect the MobilePay accounts and choose which one each place uses.
- Billing: manage the subscription.
Deleting the club and handing it over stay with the owner. No role can grant them, otherwise anyone who manages roles could take the club.
Everyone
The first entry in the list is Everyone, the permissions every member has without holding a role. It starts empty. For a small club, giving Everyone Stock is often all that is needed: anyone who can log in can restock.
Make a role
- Click New role, give it a Role name such as "Treasurer" and turn on the switches it should have.
- Click Save changes.
- Open the Members tab, click Add members, tick the people and click Add.
A person can hold several roles and gets the sum of them. Deleting a role takes its permissions away; the people in it stay members.
A sensible starting set
- Everyone: Stock.
- Treasurer: Money, Billing, Payment accounts.
- Fridge manager: Products, Points of sale.
Taking the club over
If the owner is stepping down, the club is handed over rather than re-created. See Hand the club to someone else.
