Count what is in the fridge
When the shelf and the number disagree, record a count. Every count and every sale is kept in the product's ledger.
Sales take stock down on their own, so most of the time the number in Bippa is right. Things still go missing, break, or get given away. A count sets the number to what is actually there.
Record a count
- Click Products, then the product.
- Choose Stock in the left menu. The big number is what Bippa thinks is in the fridge.
- Switch from Add to Count. The field is now In stock now.
- Type what you counted. The line under the field says "Was 12. Saving records a count of 9."
- Write why in the note, for example "2 broken", and click Save changes.
Add is the other mode: it puts a number in on top of what is there, the same as a restock but for one product.
Read the ledger
Under the count is Movements, every count and every sale, grouped by day. Each line says what happened (Sale, Restock, Count, Started counting, Stopped counting), who did it, and the number before and after. Sales are recorded as "Buyer, self-checkout". Consecutive sales are folded into one line with a Show all link.
This is the club's record of who counted what and when. Nothing in it can be edited or deleted.
Stop counting a product
Some things cannot be counted: coffee from a machine, a bowl of sweets. Turn Count the stock off on the Stock tab. Saving records the stock out, the product disappears from the low-stock list and sales of it no longer move a number. Turning it back on later starts from zero.
What is not a count
Sales are never entered by hand. Bippa is not a till: nobody rings up a sale for someone else, and cash never appears in it. If someone paid cash into a tin, the tin is the club's own business and the stock is corrected with a count.
